How to Follow Up on Every Estimate Request Without Doing It by Hand

October 14, 2026

You're on a ladder, in a crawlspace, or standing in a half-demoed kitchen when the estimate request comes in. You tell yourself you'll call back tonight. Tonight you're tired, and the lead has already called two other contractors.

That gap between "request came in" and "someone responded" is where a lot of good jobs quietly disappear. The fix isn't working more hours. It's setting up a simple system once so every request gets answered and followed up on. That's what marketing automation is for. Here's how to build it, step by step.

Step 1: Decide what counts as a lead

Before you automate anything, list every place a customer can reach you: your website form, phone calls you miss, Google Business Profile messages, text messages, and Facebook inquiries. Anything on that list should drop into one place. If a kitchen remodel inquiry lives in your email, another in your voicemail, and a third on a sticky note, no system can follow up on all of them.

Step 2: Send an instant reply

Speed matters more than polish. Within a minute or two of a request, the person should get a text and an email that say who you are, that you got their request, and when they'll hear from a real person. Something as plain as "Thanks, we got your kitchen remodel request. We'll call you today between 4 and 6" does the job.

This isn't about pretending to be human. It's about telling someone, right when they're looking, that their request didn't vanish into the void.

Step 3: Ask one useful question

Add a single follow-up question to that first message: what are they trying to do, and when do they want it done? One short question gets answers. A five-field questionnaire gets ignored. The reply tells you whether this is a ready-to-book job or a someday project, so you can spend your calls where they count.

Step 4: Build a short follow-up sequence

Most estimates don't get booked on the first touch. Plan a handful of messages spread over a couple of weeks: a check-in the next day, a helpful note a few days later (how your process works, what to expect), and a polite last nudge. Each one should be short, sound like you, and give the customer an easy way to reply or book a time.

Write them once. After that, they go out on their own, and they stop the moment the customer replies or books, so nobody gets a message that doesn't fit.

Step 5: Make booking a one-click move

Every message should include a link where the customer can pick a time. The fewer steps between "I'm interested" and "it's on the calendar," the more estimates you actually run. Pair that with a reminder text before the appointment, and no-shows drop too.

Step 6: Check it, don't babysit it

Once a month, look at where requests are stalling. Are people replying to the first text but not booking? Maybe your message needs a clearer next step. Small tweaks to a system that already runs beat starting from scratch every time. A good setup also feeds your marketing overall, because you finally see which sources send real jobs.

What to take from this

You don't need a marketing department to follow up like you have one. You need every lead in one place, a fast first reply, a short sequence that runs itself, and an easy way to book. Build those four pieces and the estimate you couldn't call back tonight still gets answered.
